To ensure first-class service levels are met, you will play a crucial role in the day-to-day operations by providing essential administrative support to the lettings team. Your responsibilities include managing property and tenancy documentation, handling communications with tenants, landlords, and contractors, and ensuring the smooth, end-to-end progression of deals from offer to completion.
Responsibilities will include:
- Documentation and paperwork: Prepare and manage all legal tenancy documents, including new tenancies, mid-tenancy changes, and terminations
- Deal progression: Take ownership of the entire letting process, from the initial offer through to the successful completion of the tenancy agreement
- Communication: Liaise with tenants, landlords, contractors, and utility companies to handle queries and issues promptly
- Database and record-keeping: Maintain accurate and up-to-date lists, databases, and spreadsheets for all properties and tenancies
- General administrative support: Handle general administrative tasks, such as managing correspondence, filing, and supporting the team with various property and financial paperwork
- Enquiries: Professionally and efficiently handle incoming enquiries from potential tenants and other parties.
Personal specification:
- Previous experience in a lettings administration role
- Strong knowledge of the letting process, property legislation, and the property market is a significant advantage.
- Strong organisational and time-management skills are crucial for managing multiple tasks and deadlines
- A passion for providing a high level of customer service is often required, particularly in face-to-face environments
- Proficiency with Microsoft Office (Word, Excel)
- The ability to be proactive and manage time effectively is important for providing high-level support.
They are offering a salary package of £35,000 to £40,000.
