Estate agency is a busy business, with agents working long hours throughout the day, in and out of the office on appointments, and the phone frequently ringing off the hook.
In every busy workplace, it’s vital then that there is stability in the office, and this is where branch co-ordinators play a vital role, being a consistent presence in the office and offering an overview of all the work being done.
The role of the branch co-ordinator, or branch administrator as it can also be known, has become increasingly popular in the past few years and we are seeing a growing number of vacancies appear for such positions. The day-to-day life of a branch co-ordinator can be extremely varied. Essentially, branch co-ordinators can find themselves doing a bit of everything, assisting wherever possible to help everyone else to get their jobs done. It’s true to say they really are the backbone of the branch.
From helping to prepare and load property details, dealing with customer enquiries and checking tenancy agreements – to placing a stationary order and buying milk for the office – a branch co-ordinator helps to keep things ticking along.
Who is suited to the role?
Proactive people with a can-do attitude always do well in these roles. As a branch co-ordinator, you will be faced with a varied workload each day, so need to be adaptable and happy to help. You’ll be flexible in your approach, offering assistance when someone needs it – be it one of your colleagues or a customer who comes into the branch.
Time management is an important one. You’ll need to be organised – not only managing your own time but also helping to manage the time of others. Estate agencies thrive when they get as much done in a day as possible, but co-ordination is key to ensure that the hours in the day are not spent with agents running around like headless chickens!
A keen attention to detail is imperative as branch co-ordinators often deal with important legal documents such as tenancy agreements and memoranda of sales. As one of the call-takers in the office, branch co-ordinators may be responsible for making appointments too, so this eye for detail, along with excellent note-taking ability and great customer service skills, is essential.
What experience do you need?
While the branch co-ordinator role does not require significant previous experience, there is always a preference for some estate agency experience. However, our clients frequently look at candidates with previous office or administration experience, even if they haven’t worked in an estate agency before.
A branch co-ordinator will need to get under the skin of the branch and really understand the role that everyone plays in order to help them effectively. This makes it an ideal role from which to progress into an estate agent role in the future.
